We may change this privacy policy from time to time without notification and therefore advise you to regularly review the policy when you visit this Site. We take your privacy and security seriously and comply with applicable UK law in relation to processing personal data.

Introduction

We will only collect personal information from you which you have provided voluntarily by completing the forms on this Site and/or sent to us via email and for the purpose of providing our services, including recruitment services. If you do not want your personal data to be collected, please do not submit it to us. If you supply personal details to us through this Site then you consent to our maintaining, recording, holding and using such personal data in accordance with our Privacy Policy below. You may request details of personal information which we hold about you under the Data Protection Act 1998 or any other applicable legislation. What information do we collect?

We receive information through multiple channels, including application forms, CVs, and in conversation, either in person (i.e. in office visits during Candidate Days) or over the phone. We currently collect and process the following information:

  • Identifying information, such as name, date of birth and address;
  • Previous and current work experience;
  • Information regarding your qualifications, such as A Levels, final degree results and universities attended;
  • Information surrounding any disabilities which we would need to make provisions for should the occasion arise; for example, if step free access is needed for interviews;
  • Information about your right to work in the UK, including nationality and visa details;
  • Videos and photographs which have been recorded in the office or sent to a member of staff for recruitment purposes;
  • Interests and hobbies, so we can match you up with suitable roles and send you relevant marketing materials.

How we get the information and why we have it

We receive information through multiple channels, including application forms, CVs, and in conversation, either in person (i.e. in office visits during Candidate Days) or over the phone.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

  • Your consent. You are able to remove your consent at any time. You can do this by contacting sales@inspiringinterns.com, or calling the office on 0207 269 6720.
  • We have a contractual obligation.
  • We have a legal obligation.
  • We have a vital interest.
  • We need it to perform a public task.
  • We have a legitimate interest.

How we will use this information

Information is used in the following processes:

To process applications

All information that we receive from you via the methods listed above (see 'How we get the information and why we have it') is used within throughout all stages of the application process. This information determines how we screen candidates and determine their suitability for different roles. Sensitive information, such as CVs and other personal information, will not be passed on to third parties without consent. Video footage will not be used for marketing and sales materials without prior consent.

Marketing

From time to time, we may e-mail you about jobs, company events, promotional offers, products and services which we feel could interest you. Your personal data will not be used for marketing purposes without your consent. If you do not wish to receive mailings from us, please notify sales@inspiringinterns.com giving your full name and address and you will be removed from the mailing list. We will also remove your video from our website and other locations if requested.

To contact you

We will store all email addresses, phone numbers and home addresses you have provided us with to act as a point of contact. Prior to your arranged candidate day with us, we will send you a reminder text, and will be in touch with you either via phone or email to inform you of any potential positions or interviews, and will remain in touch throughout the recruitment process.

To find relevant positions for you

We require your postcode to take your commute into account. Additional information, such as skillsets and qualifications, is necessary to ensure that we can find roles that are suitable for you.

To monitor, analyse and improve our services

We will use this information to keep track of applications and to use this information to improve marketing, sales, and company services.

How information is stored

Information is accessible to the Talent Development Team, Account Management Team, Sales and Marketing Team and IT Team. Your information is securely stored in HR management systems, including in our internal CRM system, used only by Inspiring Interns. Sensitive information, such as address, date of birth and disability status, is held only by our internal systems. Videos may be used for marketing and sales purposes. We will keep all personal information on file for a maximum of 2 years, unless you ask us to remove it from our systems beforehand. In this case, all information, including CVs and videos, will be removed within 30 days. We will dispose information by deleting all personal details, including your CV and any additional information you have provided throughout the recruitment process from our internal HR systems, as well as removing your video from all websites and marketing materials. Please note: if you wish to use our services again after this 2 year period, or within this 2 year period but have previously requested for your information to be removed, we cannot retrieve your data.

Third Party Usage

Data may be supplied to third party processors to collect, store and process your personal data. Inspiring Interns works with these third parties processors to provide our services and enable security measures designed to safeguard your data, from risk of loss, destruction, unauthorised access, modifications or disclosure. Inspiring Interns reserves the right to e-mail offers on behalf of third parties, where you have given consent to do so. We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.
  • Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances.
  • Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
